Please read the following terms carefully. By registering with Nova FC, submitting payment, or accepting placement, you agree to these terms in full.
All registration deposits, commitment fees, and roster reservation payments are non-refundable. These payments are used immediately to reserve your child's place, secure coaching and field space, purchase equipment and uniforms, and support program planning.
A player's position is not guaranteed until the required deposit has been received.
Nova FC operates on a long-term developmental model, not a pay-per-session structure. By enrolling, families commit to the full seasonal term. Because roster spots are limited and reserved specifically for each player, seasonal fees are non-refundable. Withdrawal does not automatically remove financial responsibility for remaining payments unless approved in writing by Nova FC management.
Monthly installments are offered as a convenience and do not represent a month-to-month agreement. By selecting a payment plan, families acknowledge they are committing to the full seasonal balance, which remains due regardless of attendance, scheduling conflicts, relocation, or voluntary withdrawal. Missed payments may result in suspension from participation until the account is brought current.
Nova FC reserves the right to pause participation, withhold uniforms or registration, and send unpaid balances to collections if necessary.
If a family withdraws before the term begins, they will receive a full refund of fees paid — with one exception: if Nova FC gear has already been ordered on the player's behalf and the player does not already own Nova FC gear, the family may remain liable for the gear fee.
If a family withdraws after the term has begun:
Any payments already made are non-refundable
Future scheduled payments may still remain due depending on timing and operational commitments already made
Roster spots surrendered mid-season may not be replaceable
All withdrawal requests must be submitted in writing to club administration.
In cases of significant injury or medical circumstances preventing long-term participation, Nova FC may review requests for partial credit or adjusted payment obligations on a case-by-case basis. Written medical documentation and physician verification may be required.
Approval is at Nova FC's discretion and is not guaranteed. Refunds are generally not issued for short-term injuries or temporary absences.
Uniforms, training apparel, equipment packages, merchandise, and custom items are non-refundable once ordered, distributed, printed, or processed.
Sizing responsibility belongs to the parent/guardian unless otherwise stated.
Nova FC reserves the right to suspend or dismiss any participant or family whose behavior is disruptive, abusive, threatening, unsafe, or inconsistent with club standards.
Dismissal for disciplinary reasons does not entitle families to refunds, credits, or cancellation of remaining balances.
When a refund is approved, processing times may vary. Transaction fees, merchant fees, and administrative charges may be deducted. Refunds may be issued via the original payment method or as club credit at Nova FC's discretion.
This policy establishes what happens when training cannot be provided because of weather, lightning, unsafe field conditions, facility closures, or other external circumstances outside Nova FC's reasonable control.
This policy applies when Nova FC cannot provide or complete a scheduled session due to circumstances outside its reasonable control, including severe weather, lightning, unsafe field conditions, facility closures, government or facility restrictions, and emergency safety conditions.
Player and staff safety takes priority over completing a session. Nova FC is not required to continue simply because families have already arrived.
Nova FC reserves the right to cancel, postpone, delay, shorten, suspend, relocate, or discontinue a session when conditions are unsafe or when instructed by the facility or appropriate authority. Because Florida weather can change quickly, decisions may be made in advance, shortly before, at the start time, or even after a session has begun.
We will make reasonable efforts to communicate changes as promptly as circumstances allow.
When a qualifying cancellation occurs, our first priority is to make up the affected training time. We retain reasonable discretion to determine how, which may include adding training dates, extending future sessions, distributing time across remaining sessions, or another reasonable arrangement.
Example: If training time is lost, we may extend future 60- or 75-minute sessions to approximately 90 minutes over several weeks until the time is accounted for.
A cancelled session does not automatically entitle a family to a separate replacement on a specific date. We may account for missed time by extending future sessions instead.
If a session begins but must be stopped due to lightning, severe weather, deteriorating field conditions, or facility instructions, we will determine whether a meaningful portion was completed and how much time remains outstanding.
A partially completed session does not automatically create entitlement to an entirely new session. We may instead account for the outstanding portion by extending future sessions.
A cancellation does not automatically create a credit. Our first responsibility is to make up the affected time. A credit only becomes applicable when we determine that remaining qualifying time can no longer reasonably be made up before the next term begins.
Example: If we have sufficient remaining dates to extend or add sessions, we will use those options. If the next term is beginning and we can no longer reasonably add or extend sessions, the outstanding value may be converted into a future-term program credit.
Nova FC determines when a make-up is no longer reasonably possible.
Program credits are distinct from refunds. They have no cash value, cannot be withdrawn or exchanged for cash, cannot be sold, cannot be transferred to another family unless authorized, cannot be applied against unrelated outstanding balances, and can only be used toward an eligible future Nova FC registration.
Weather-related and qualifying cancellations do not create a right to a cash refund. The applicable remedies are: (1) make-up of the affected time, or (2) if a make-up is no longer reasonably possible, issuance of an eligible future-term program credit.
A family account must be in good financial standing to receive or utilize a program credit. All installments and amounts due under the affected registration must have been paid as required. If an account has an outstanding balance:
We may withhold issuance or mark the credit as pending until the balance is resolved
A credit cannot be redeemed while the account remains delinquent
A weather cancellation or field closure does not cancel, waive, or reduce an existing payment obligation.
A credit is intended to offset future Nova FC participation. To use it, the player must register for an eligible future term, and the credit will be applied toward that registration.
Example: If we issue a $25 credit and the future term costs $165, the $25 is applied and the family remains responsible for the remaining $140.
If the family chooses not to enroll in another term, the unused credit does not become a cash refund. A credit does not automatically reserve a future place — families must register before deadlines or capacity limits are reached.
A Nova FC cancellation is different from an individual player's inability to attend. If we conduct a session as planned, a player who does not attend is not entitled to a make-up, credit, prorated adjustment, or refund. This includes absences resulting from:
Illness, vacation, travel, or transportation difficulties
School, family, or other sporting commitments
Scheduling conflicts or personal decisions
This policy applies to circumstances where Nova FC cannot provide the scheduled programming — not to a player's personal inability to attend.
PlayMetrics is our primary platform for program-related updates, including weather cancellations, lightning delays, field closures, schedule changes, make-up dates, extended training times, and credit information.
Parents/guardians are responsible for:
Maintaining access to their PlayMetrics account
Keeping contact information current and enabling notifications
Regularly reviewing announcements and schedule changes
We will make reasonable efforts to communicate changes, but families are responsible for monitoring PlayMetrics for the most current information.
We retain reasonable discretion regarding how qualifying missed time is accounted for. A cancellation does not automatically entitle a family to a separate replacement session, a family-selected make-up date, a credit, a prorated adjustment, a cash refund, or an extension tailored to an individual player's availability.
Make-up arrangements are determined based on the needs of the program as a whole. If we schedule a reasonable make-up or extend future sessions, the time is considered made available regardless of whether an individual player attends.
We may assign an expiration date or redemption period to each credit. Parents will be able to see the credit amount, reason, date issued, eligible player, eligible programs, expiration date, and current status.
Possible credit statuses:
Pending — Available — Redeemed — Expired — Ineligible
A credit only displays as Available when all eligibility conditions are met. Administrators may make authorized manual adjustments when necessary.
Our credit system follows this logical sequence:
Step 1 — Qualifying Cancellation
Administrator records that a session was not provided due to a qualifying external circumstance.
Step 2 — Determine Outstanding Time
Record the amount of training time affected.
Step 3 — Make-Up Attempt
Determine whether the time can reasonably be made up through additional dates, extended sessions, or another arrangement.
Step 4 — Make-Up Completed
If the time is made up, the issue is resolved. No credit is issued.
Step 5 — Make-Up No Longer Possible
If the next term is beginning and the time can no longer be made up, calculate the applicable credit.
Step 6 — Financial Eligibility Check
Verify the account has no outstanding balances. If it does, the credit remains pending until resolved.
Step 7 — Issue Program Credit
Credit becomes available and is associated with the player's account.
Step 8 — Future Enrollment
When the player registers for an eligible future term, the credit is offered toward that registration.
Step 9 — Redemption
Once applied, mark the credit redeemed and record the registration, amount used, and remaining balance.
The system does not provide a cash withdrawal, payout, or refund option for these credits.
We maintain an administrator-facing credit record containing:
Player name, parent/guardian account, original term, and affected session(s)
Reason, training time lost, make-up attempted and method, make-up completed
Credit required, amount, account financial standing, outstanding balance, credit status
Date issued, expiration date, future term applied to, date redeemed, administrator notes
We maintain an audit history for administrative changes where possible.
By registering for any of our programs, you acknowledge that you have read, understand, and agree to these policies — including the terms governing refunds, make-ups, program credits, financial standing, and the non-refundable nature of credits.
Throughout our communications, we use language that reflects the nature of credits accurately.
Terms we use:
Program Credit, Future-Term Credit, Eligible Program Credit
Terms we avoid:
Money Owed, Refund Balance, Cash Balance, Refund Credit
Credits represent an adjustment toward future eligible programming, not money that can be withdrawn.
Nova FC's weather cancellation, make-up, and program credit system consistently follows this hierarchy:

If the training time is successfully made available, the matter is resolved
If Nova FC determines the time can no longer reasonably be made up because the next term is beginning, determine whether a program credit is appropriate
Verify that the player's/family's account has no outstanding dues and is in good financial standing
Issue an eligible future-term Nova FC program credit
Player registers and enrolls in an eligible future Nova FC term
Credit is applied toward that future registration
No cash refund

By registering with Nova FC, submitting payment, accepting placement, or participating in club activities, families acknowledge that they have:
Read and understood the Refund & Payment Policy
Accepted the financial commitment associated with participation
Read and understood the Weather Cancellation, Make-Up & Program Credit Policy
Understood that program credits have no cash value and are not refundable
Understood that individual player absences are not eligible for make-ups, credits, or refunds
Nova FC reserves the right to amend or update this policy at any time as operational needs evolve.
